For large events utilizing many rentals, discounts and transportation waivers may be negotiated. Please contact us for quotes.

There is no transportation fee for any event in Davidson County or Wilson County. For events outside of these areas that require extensive drive time, a fee may be assessed on a case by case basis.

If we are unable to provide a system that fits your needs, we will outsource to known vendors in the Nashville area to fulfill your requests.

All Equipment is professional gear from brand names such as EAW, JBL, Crown, QSC, Shure, Audix, etc.

All Staff are proficient and competent professionals trained in their duties.

Based on event/venue needs a recommendation for rentals will be made. It is up to the client to accept that recommendation for the size of rental. Certain systems provide better coverage to wider areas or longer rooms.

In certain cases, if a larger rental is available on the date that a smaller rental was booked. It will be provided at no extra fee.

Equipment is professionally maintained and operated, and proper setup requires time. Unobstructed access to the venue during setup is essential to a timely event. Each rental setup requires different amounts of time ranging from 30 minutes to 2 hours 30 minutes.

Equipment is high powered and requires adequate access to power to operate properly. Normal requirements are usually [3] separate 20A circuits dedicated to the PA system, and unused by other vendors. More or less power may be required depending on the setup. All reasonable efforts to provide information on venue provided power must be made (i.e. 3 phase tie ins, 30A tie ins, [3] 20A circuits, [2] 15A circuits, portable PDU provided, Spiderbox provided, etc.). A walkthrough of the event space may be required prior to the event to confirm power availability. If the venue is incapable of providing power (i.e. outdoor festivals, older buildings), an additional fee may be required for generator rental or electrician services.

A list of people authorized to access the stage should be made available to staff.

Certain events may require the rental of a stage manager, and/or security to ensure protection of the equipment and prevent unauthorized access to the stage.

Equipment is large, heavy gear. The gear is transported on dollies, and in ATA Road Cases. The gear is usually delivered via enclosed trailer pulled by a full size truck. Reasonable/safe loading zones must be provided within close proximity to the entrance of the venue. If great distance not discussed prior to booking must be made during loading an additional labor fee (not to exceed $60) may be assessed.

All pricing assumes a 10 hour day unless otherwise noted. If your event requires more than 10 hours you must make arrangements beforehand. A fee of $30/hour for each engineer assigned to the event will be assessed for any overtime not agreed upon prior to the event. Time starts once setup begins, and ends when tear down begins.

For certain events and situations, a nonrefundable deposit of no more than half the total rental fee may be required up to 7 days prior to the event. The remaining balance will be required prior to setting up on the day of the event.

Weather is a reality that is unpredictable. All safe efforts will be made to continue the show/event under all circumstances. Onsite staff representing AER Productions reserves the right to stop the show if weather is deemed a hazard to patrons, staff, or equipment. Best efforts will be made to resume the show/event as soon as possible. Pricing and payment will not be affected do to weather or security risks and/or stoppages.

Price list and rentals may change on a monthly basis as gear is replaced/updated, and outsource pricing changes.
